This notice explains what personal information I collect, why I collect it, and what I do with it. STEAM Tutors is a sole trader business operated by Dr Sajid Saleem, and I am the data controller for the information described here.

What I collect
From parents and guardians: your name, email address, telephone number, and the content of messages you send me.
About students: first name, year group, school, subject and exam board, results of diagnostic assessments, notes on progress, and work submitted during lessons.
From payments: records of fees paid, dates and amounts. I do not store bank or card details.
From the website: basic technical information such as pages visited, collected by the caching software that keeps the site running.
Why I collect it
To respond to enquiries, arrange and deliver lessons, assess and record a student’s progress, report to you, keep accurate financial records for HMRC, and meet my safeguarding responsibilities.
My lawful basis is the contract between us for tutoring services, and legitimate interests in running the business. Financial records are kept because the law requires it.
Children’s information
Information about students under 18 is collected from and shared with their parent or guardian, not the student directly. All communication about lessons, progress and arrangements runs through you.
I do not message students directly, and I do not record lessons.
Who I share it with
I do not sell your information or share it for marketing.
Messages sent to me via WhatsApp are processed by WhatsApp under their own terms. Website hosting is provided by Hostinger. Email is provided through my domain host.
I may disclose information without your consent only where I am legally required to do so, or where there is a safeguarding concern about a child’s welfare — in which case I would contact the appropriate authorities.
How long I keep it
Enquiry records that do not lead to lessons: twelve months.
Student records and progress notes: for as long as I teach your child, and for two years afterwards in case you need a reference or return.
Financial records: six years, as HMRC requires.
How I protect it
Records are kept on password-protected devices. Paper records, where they exist, are stored securely. Access is limited to me.
Your rights
You may ask me for a copy of the information I hold, ask me to correct it, ask me to delete it where I am not legally required to keep it, or object to how I am using it. Contact me at info@steamtutors.co.uk and I will respond within one month.
If you are unhappy with how I have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
